Certified copy of your diploma/grades transcript

If your diploma is from a non-Dutch educational institution, you will need to send a certified copy of your diploma and final grades transcript to  Maastricht University (UM) to be verified. This only needs to be done for the diploma that is required for admission to the study programme to which you are applying. Previous or non-related diplomas do not need to be verified.

If you have completed or will complete your prior education outside of the Netherlands but will NOT receive your diploma before your UM programme starts (1 September or 1 February), you will need to submit a Statement of Graduation along with your final grades transcript.

MyApplication portal

You will find comprehensive instructions regarding the certified copy of your diploma in the MyApplication portal, the platform for your UM application. Please wait until the task ‘Send certified copy of diploma’ becomes active in the portal before taking any action regarding your diploma or grades transcript. Submitting your documents by email or post

To submit the required documents, please choose one of the following three options:

  1. Send a digital copy of your diploma and final grades transcript containing a digital signature to digitaldiploma-ssc@maastrichtuniversity.nl. It must be possible for the UM Admissions Office to verify the authenticity of the documents. This means that the documents must contain either the correct digital signature from your educational institution in Adobe or a verification link or QR code that can be used on the institution's website to verify their authenticity and content. 
     
  2. Have the educational institution that issued your diploma send a digital copy of your diploma and final grades transcript directly to digitaldiploma-ssc@maastrichtuniversity.nl.
     
  3. Send a certified copy of the diploma and final grades transcript by post to UM. The certified copy is a photocopy of your diploma (and final grades transcript) containing both:
    1. an original* official stamp from your educational institution as proof of authenticity
    2. an original* signature from an official of your educational institution
      *This means that the photocopy of your diploma and transcript are made first, then the stamp and signature are put on the photocopy; photocopies of the stamp and signature will not be accepted.

**IMPORTANT: Please do NOT send your original diploma by post. Only send the certified copy with an original stamp and signature.**

Language requirements

All documents are required to be in English, Dutch, German or French. If your diploma is in a different language, you need to provide us with a certified copy of the original document as well as an official translation of your diploma into Dutch or English. The copy of the diploma in its original language needs to be certified by your institution. The translation of the diploma needs to be done by a certified translator and notarised, but it does not have to be certified by your institution.

Dutch diplomas

If your diploma is from a Dutch institution, you do not need to submit a certified copy of your diploma or your final grades transcript. Dienst Uitvoering Onderwijs (DUO) will verify your diploma directly with UM.

General Data Protection Regulation

Please note that all hard copy documents submitted will become property of UM. Based on the General Data Protection Regulation (GDPR), these documents will be digitalised and later destroyed in a secure manner. UM will save your documents for two years after the start date of your study programme. If your study programme starts on 1 September, we will save your documents for two years after 1 September.
